ELIXIR Luxembourg offers a new ready-to-use Data Submission System

When receiving data from collaborators, research institutions often face challenges associated with the data transfer process, from incomplete metadata to lack of provenance and standardisation. The new Data Submission System (DSS) developed by ELIXIR Luxembourg addresses these issues. This open-source collaborative platform is designed to streamline the submission of data to any infrastructure. Thanks to our step-by-step guide and expert support from the ELIXIR Luxembourg team on deployment and use-case driven development, it is an ideal solution for research organisations and biomedical facilities.
Enriched, standardised and traceable data
The Data Submission System ensures that data and associated information are integrated in a structured, traceable, and harmonised manner. “The system acts as a gateway to a research organisation. All data are captured along their metadata including persistent identifier generation, ensuring data won’t get lost ever again,” details Vilem Ded, one of the data stewards contributing to development of the DSS. “As a result, the data can be properly managed downstream, from ingestion and analyses to archival.” Harmonised forms also promote consistency across all submissions, meaning end users directly access up-to-date information. Additionally, the platform helps with traceability: It captures data ownership and provides full data provenance, satisfying compliance requirements.
Streamlining data submission
Thanks to the DSS, the overall data transfer is streamlined. An easy-to-follow multi-step workflow facilitates the process for both the data submitters and the recipients. The platform connects the submitters and the data stewards of the receiving institution, enabling direct communication and structured interactions. It also protects data and metadata by limiting access to authorised users and by integrating with secure transfer channels.
Free, ready-to-use and accompanied by expert support
The Data Submission System is currently used by ELIXIR Luxembourg and by the Luxembourg Centre for Systems Biomedicine (LCSB) at the University of Luxembourg, but can be adopted by any interested research institution for free. “We have designed the DSS so it can be easily deployed and used by the data stewards of another university or research centre,” explains Natalia Panadero Martinez, a data steward involved in the project. “The documentation describes the system and its deployment in detail, but we are also happy to provide support during the installation phase if needed.” To request a demonstration, learn more about deployment options, or discuss integration with your infrastructure, contact the ELIXIR Luxembourg team.
